Purpose of Position

The Traffic Coordinator serves as the Shipping Supervisor's primary resource for coordinating transportation and logistics activities. This position plans and executes domestic and international shipments, serves as the principal point of contact for carriers, freight forwarders, customs brokers, and internal departments, to ensure all transportation activities comply with customer requirements, company procedures, and applicable regulations while supporting safe, efficient, and on-time delivery of company products.

Tasks and Responsibilities

  • Coordinate both domestic and international shipments using parcel, LTL, dedicated load, flatbed, oversized, specialized, ocean, and air transportation.
  • Schedule transportation with approved carriers, freight forwarders, and logistics providers to support customer delivery requirements.
  • Prepare shipping schedules and coordinate transportation activities including oversized and specialized shipments requiring permits, route planning, escorts, or other transportation requirements.
  • Work closely with the crating department to coordinate packaging requirements, crate construction, and shipment readiness.
  • Ensure shipments comply with applicable customer specifications, government regulations, export requirements, military standards, hazardous material requirements (when applicable), and company processes and work instructions.
  • Prepare and review shipping documentation including bills of lading, commercial invoices, packing lists, certificates of origin, export documentation, and other required transportation documents.
  • Coordinate international shipments with freight forwarders, customs brokers, internal Trade Compliance partners, and government agencies to ensure timely customs clearance.
  • Obtain freight quotations and evaluate transportation options based on cost, service, transit time, and customer requirements.
  • Monitor shipments from pickup through delivery and proactively resolve transportation issues, delays, shortages, damages, or exceptions.
  • Maintain communication with internal and external customers regarding shipment status, tracking information, and delivery schedules as required.
  • Coordinate with Production Planning, Warehouse, Shipping, Receiving, and Program Management to prioritize shipments and resolve scheduling conflicts.
  • Maintain transportation records, freight documentation, performance metrics, and shipment history.
  • Support freight invoice reconciliation and assist with transportation cost analysis.
  • Identify opportunities to improve shipping efficiency, reduce transportation costs, and enhance customer service.
  • Maintain knowledge of transportation regulations, carrier capabilities, and industry best practices.
  • Participate in continuous improvement initiatives related to shipping, packaging, logistics, and transportation processes.
  • Perform other duties as assigned.

Minimum Education

  • Associate degree in Supply Chain Management, Business, Logistics, or a related field preferred.
  • High school diploma or equivalent required.
  • Equivalent combination of education and applicable experience may be considered.

Minimum Experience

  • Three (3) years of experience coordinating freight, transportation, shipping, logistics, or supply chain operations.
  • Experience coordinating domestic and international shipments.
  • Experience working with freight carriers, freight forwarders, and customs brokers.
  • Experience within a manufacturing environment strongly preferred.
  • Experience with ERP systems and transportation documentation preferred.

Knowledge, Skills, Abilities

  • Working knowledge of domestic and international transportation methods, including parcel, LTL, dedicated load, flatbed, oversized, air, and ocean freight.
  • Understanding of freight classifications, transportation terminology, carrier operations, and shipping documentation.
  • Knowledge of import/export processes and international shipping documentation.
  • Familiarity with Incoterms and international commercial shipping practices preferred.
  • Knowledge of U.S. export regulations and customs processes preferred.
  • Understanding of military packaging and shipping requirements is desirable.
  • Strong organizational skills with the ability to coordinate multiple shipments and competing priorities simultaneously.
  • Excellent written and verbal communication skills with the ability to effectively coordinate activities across departments and with external business partners.
  • Strong problem-solving and decision-making skills.
  • Ability to interpret customer shipping requirements and technical documentation.
  • Proficiency with Microsoft Office applications, particularly Excel and Outlook.
  • Experience using ERP/MRP systems.
  • Ability to maintain accurate records and documentation.
  • Ability to work independently while collaborating effectively in a team environment.
  • Strong attention to detail and commitment to accuracy.
  • Ability to build productive working relationships with carriers, suppliers, customers, and internal stakeholders.
  • Ability to obtain forklift certification and safely operate material handling equipment, if required.
