Position Summary

Are you passionate about delivering exceptional service and creating a workplace experience where everything runs smoothly?
As a Facility Desk Administrator, you will be a key point of contact for employees, internal stakeholders and service partners. You will combine hands-on client service, facilities coordination and proactive site oversight, ensuring requests are handled efficiently and workplace standards remain high.

Your Role

  • Act as a professional and approachable first point of contact at the help desk and via the service hotline.
  • Own service requests from registration through to resolution, follow-up and client satisfaction.
  • Coordinate quality checks across soft and hard services and follow up on corrective actions.
  • Monitor preventive maintenance and inspection schedules, ensuring completion and escalating risks when needed.
  • Track tickets, open works and service actions, prepare KPI reports and identify opportunities for improvement.
  • Support the Facility Coordinator with suppliers, moves, access, service quality and other operational activities.
  • Administer subcontractor works and invoices, verifying completion before approval.
  • Maintain accurate documentation, trackers and handovers to ensure operational continuity.
  • Follow all applicable EHS, security and confidentiality requirements and maintain a consistently professional appearance.

Who you are

  • 3+ years of relevant experience in facilities, workplace services, service coordination, premium hospitality or a similar environment.
  • Excellent communication skills and the confidence and discretion to work with senior, executive and VIP stakeholders.
  • Strong judgement, prioritization and organizational skills.
  • Good understanding of soft and hard facility services, maintenance and supplier coordination.
  • Experience with MS Office, reporting and ideally ticketing, CAFM or service-management systems.
  • A proactive, hands-on and service-oriented mindset with the flexibility to support different operational needs.
  • Fluent English and French are mandatory.
  • German at B2 level and additional languages are an advantage.
